HI
As per the title, I have a capture with a custom form that is pre-populated but still needs checking. I've set Never Skip Form to True, but the form is still being skipped. Is there a setting I've missed, or is there a problem?

We've lost all views of assets too

Thanks for the update. Sadly I'm the owner of an ever increasing number of documents, so it looks like I'm stuck with the notifications for now.
Is the ability to mute them something that could be added?
-
Yes, those are the settings I meant... and yes, the notifications are related to scheduled reports being published as documents (sorry, I should have made that clear in my original post)
Thanks

How can I stop these showing in my Workspace? I've turned off the settings on my account, but it doesn't seem to have made any difference. I look after a lot of documents and all my other notifications get lost in the clutter of the document ones.
Thanks

@Steven Boardman Thank you, that's perfect!

We would like to be able to send an email to a small group of external email addresses as part of an incident BPM (or possibly an Autotask). The group will vary depending on the site chosen.
I’m struggling a bit to figure out how to do it. I don’t want to use decision nodes in the workflow as it will become a nightmare to administer. The group addresses could be stored in the notes field for each site, but I don’t know if/how I can then use this with the email.

These are being created as manual activities using a template - they are raised as required as part of a Request. I've been trying to create an Auto-task to remove them, but can't figure out how to get the Card ID or activity ID.
It feels like this should be simple, but the board doesn't seem to react to any actions on the activity.
Help?

Hi @Victor
I don't think explained myself very clearly, sorry.
15 hours ago, Victor said:@LouiseT @NickH The email sent from an auto task and/or an associated workflow does not create a timeline entry on a request with the content of the email. They do create a timeline entry with the content specified in the node configuration (can be a manual timeline update or a system timeline update). It is simply a timeline record that an email has been sent.
I'm aware of this, and it's how I expect it to work. The situation we're struggling with is the following:
I raise a request and send an email via an auto task to a colleague or third party
Colleague/third party receives that email in Outlook and sends a reply.
Should this reply (from colleague to Hornbill, with request ID in the title) then update the timeline of the request?
Thanks

It would not be. The only way an email is automatically applied to a request is to have it processed by routing rules (the autoresponder) based on certain criteria (such as request reference in email subject). And this would only apply to incoming emails. Replying to an email in Hornbill would be an outgoing email so it does not apply.
I think @NickH is talking about when someone replies to an email they've been sent via Hornbill (using either the email functionality in a request, or a template created via autotask). As I understand it, this should update the request timeline? As far as I can tell that's not happening.
Hope that makes sense!

Ignore this. Logged out and back in and all is fine. I need more coffee!

I'm trying to set up a new user and can't see the Roles box. In fact, I can't see it on any user's details.
I know I can probably work round this using the Roles lists, but that's really not ideal. Any ideas what's happened?

Hi
As far as I'm aware it's not currently possible to map asset information (serial number, name, type etc) into an email template. I'd like to be able to send an email during the life cycle of a request and have these automatically populated.
Is there any way I can work around this using custom fields?
And is there any way this functionality could be added?
Thanks

When we go to raise requests, the site list is only showing one page, with no option to move to a further page. This was apparently noted yesterday. We've not changed any settings - has there been an update?

Apologies for a slow reply. Thank you, this is a huge help.
Taking it a bit further, is it possible to use the site postcode and address in the email template?
Many thanks
Louise

Once I’ve captured an asset and site details via progressive capture, is it possible to then use those details in an email template from the request? I’d hoped I could map them to custom fields in the custom form step of the capture, but I can’t see that it’s possible.

All seems to be working here now. Thank you for getting this resolved.

Unfortunately still no luck here either.

I'm afraid I'm still only getting 10 results, despite clearing the cache and logging out/in.

Thanks for letting us know!

Hi @ArmandoDM
This is set to 8,000.
The change in export results has happened recently - we were able to export all assets correctly at the end of last week.
And having checked again, it's actually only 10 results we're getting, my apologies.
Thanks
Louise
