I would like the option to have a variable custom field so that I can  use the same Email Template several times and hence simplify the complexity of the workflow.

Is this possible, if so how do I go about achieving this

@stevebissex you posted in a section that is not monitored by any Hornbill Staff responsible with the Hornbill application. I have moved this thread there but for future reference I would advise trying to find the most appropriate section otherwise the people who can help won't see it.
