Mike Hillman Posted May 22, 2024 Posted May 22, 2024 We've never really used Document Manager up to this point, but we're now looking to evaluate it for holding our knowledges articles and other documents Back when we first had Hornbill 4 years ago, someone did experiment with adding some documents in, but it wasn't really set up properly, very quickly forgotten about and those documents are now very definitely out of date I've managed to take ownership of them all - is there a way to bulk delete documents, or is it a case of going through each one by one to delete it? I basically want to start again with a clean slate, as everything that's currently in there is so out of date it'll be easier to just wipe it out and start again than try and get it updated
Gerry Posted May 22, 2024 Posted May 22, 2024 @Mike Hillman Thanks for your question, I just had a look and from what I can see there is no way of bulk deleting documents in Document Manager, this would appear to be a UI issue, as there is the capability as far as the API library service API is concerned. I would have expected you to be able to select multiple documents and have a delete option. I will ask internally and take this as a feature request if thats ok with you. On a related note, you mentioned you are going to use Document Manager for holding your Knowledge Articles. Document Manager in of its self is not really a knowledge management system, and, while it shares some traits with such a system, it would have significant shortcomings. We have been working on introducing Knowledge Management capabilities into Service Manager, this is designed specifically for Knowledge Management and will ultimately be a better choice for you I would suggest. I would encourage you to consider that route as an alternative. Gerry

Mike Hillman Posted May 22, 2024 Author Posted May 22, 2024 Thanks for this Gerry Yes, you are right - the Knowledge Management feature probably would be a better option for us - at this point we're just evaluating how we can make better use of the features of Hornbill we're not currently using, so we'll bear that one in mind
Gerry Posted May 22, 2024 Posted May 22, 2024 @Mike Hillman Where document manager is really useful (and really what its designed for primarily) is managing documents that you need to support your operations and processes, this is because you can track versions, organise documents into libraries and share with individuals or teams. Think of it as a master document repository, making documents available to find, read, on the desktop and mobile app. If you do any kind of audits, need to track policy documents, periodic reports etc... they are all good use cases for document manager. As a knowledge base, not so ideal I would say Gerry 1
