Would it be possible to add the option of getting user info from an email address in the Get User Details node please?

@Paul Alexander @Martyn Houghton @HGrigsby  would it be possible to help us by providing a few use cases of where you would see this helping?

Secondly, one question this throws up is the one of the same email address being assigned to different users, and the challenges this could present, with potentially the wrong user being looked up, if for example we went with the first match, but there were multiples.  Of course this could be a data quality issue, but we know from experience that as this is a not a unique attribute it is not uncommon.

For us there are a couple of processes which would benefit from this:

  • Our leavers process is kicked off from an email which contains the leavers' email address. The email comes from an application. Being able to find the user from the email address would then enable us to automatically check for an AD account and then carry on with the process (if no account is found, then we could close the request without any manual intervention)
  • We have Azure alerts emailed to us which, again, contain the users' email address. It would help if we could find this user based on the email address so that the request can be logged against this user.

We don't have any accounts with shared email addresses, so the duplication wouldn't be a problem for us.

Pretty much the same as Paul has described!

Our Leaver process sends an email from the HR system which contains their name as "last, first"  and their email address.  We wanted to be able to get this information to log a ticket under the right user automatically.

We don't have any accounts that share an email address either

@HGrigsby @Paul Alexander thanks for the feedback, the use cases help.

The requirement is on the to do list (no timeframe right now). It will include logic to cater for scenarios where more than one user account is returned when matching on the email address, so you will be able to cater for this scenario (if needed) in your business process.

@Andrew Parsons @HGrigsby @samwoo @Michael Sharp @Alisha @Martyn Houghton The ability to get user details from an email address has been added.  This includes the following:

  • 2 new inputs:
    • Email Address - will ONLY filter on the primary email address, and is an exact match (not case sensitive);
    • Account Status: Active/Suspended/Archived - set to ignore to not apply account status clause. Only affects searches using email address, existing userId/logonId/employeeId functionality will not change.
  • If more than one user account is found with the provided email address (and status, if applicable) then the outcome output parameter of the operation will be tomanymatches - this will allow you to cater in the workflow for scenarios where more than one account has the same primary email address defined.

The update containing the new features is scheduled to be available early next week.
