lee mcdermott Posted May 18, 2017 Posted May 18, 2017 Hi, Is there any role that will allow access to any activity? The problem we have is a select few of us need to have more admin access to manage the queues, activities etc. I pretty much have every role except Super User as was initially advised not to assign this role to myself. The issue is if an activity is assigned to a team we have no way to access or move that activity (for example if it is assigned to the wrong team). So what I have to do is add myself as a member of the team it is assigned too to move the activity to the required team then go back in and remove myself from the team again once i have moved it. thanks lee

If you're the owner of an Activity, then you can handle and manage them. You could achieve by editing the "Owner" field in the corresponding Human Task node within your Business Process. lee mcdermott Posted May 18, 2017 Author Posted May 18, 2017 @Ehsan Hi yes the activity is created via a business process, once the request has been approved the activity is generated and then assigned to the relevant team. As mentioned sometimes the analyst may assign it to the wrong team at which point I have to add myself to that team to allow me to move again. So currently the owner is set to system administrator. So if I change this to myself it shouldn't affect anything I assume? But it will then give me permission to access any activity? Would there be any other way to achieve this to allow multiple people to be able to access any activity to be able to move them? can a group or role be added? thanks lee
Guest Ehsan Posted May 18, 2017 Posted May 18, 2017 @lee mcdermott, That's right - If you change the owner of the Human Task to yourself, then you'll be able to manage Activities that are raised from today onwards. Unfortunately it is not possible to set multi-people or a team as the owner of an Activity.

Guest Ehsan Posted May 18, 2017 Posted May 18, 2017 @lee mcdermott An Activity has two attributes: Owner Assigned to As the owner of the Activity, you can update and manage the Activity. As an assignee of an Activity (whether it is assigned to a user a user's team), the user will be able to complete and update the Activity. This change will not affect your process - as long as you only change the Owner field. Make this change to your Business Process and then raise a test Request and give it a try. James Ainsworth Posted May 18, 2017 Posted May 18, 2017 Hi Lee, I just wanted to add a bit to this topic. Ehsan's suggestion to add yourself as the owner of the activities is a great way to configure these. Not only does it give you greater control over the activities when viewing them from a request, but it also gives you visibility of these activities from your Activities View. In the Activities View, not only can you see activities assigned to yourself, you can also see the the activities that you own and the activities that are assigned to your managed staff. If you have been set as the manager against a user's profile, you will be able to access their activities within your view. Here is an over view video of the Activities.
