  1. Hi, we've got some staff who have left/moved and I need to remove their user license, but it says they have tasks assigned to them. How can I get a view of their assigned tasks and what requests they are on to get the tasks completed/reassigned please?
  2. We have lots of tasks in the system that we don't want the customer to see in the portal by default an example is below: How do we change this to be visible to 'Team' only as there are no settings per task in the BPM, is this the correct setting to change (below)?
  3. In my profile notification settings I have both Hornbill and Desktop notifications enabled for Task Assignment, however I only receive a Desktop notification. This is my only browser window I have open, so I do not already have the request in question open and it does not appear under the dismissed items under the Hornbill Notification bell. Cheers Martyn
  4. We've just added Templates to the Activities. Soon you will be able to create templates for Activities which will be available to all users. These templates specify the outcomes and checklists that will appear on an Activity and a list of available templates will appear when creating a new Activity. To manage these, you need the "Activity Template Manager Role". Some of the template functionality, such as the outcomes, were previously handled by the Categories. Now it's been separated, but don't worry, we've created pre-defined templates for you based on your existing Categories. Tho

Could I ask for an enhancement to the task creation as part of a BPM, can we have the option to define the visibility of the task i.e. Team, Manager, Customer, Owner, Public etc Currently we don't seem to be able to define this so all the tasks are visible to the customer in the portal when sometimes we would rather these be hidden, so just view able by the 'team'. We have noticed that even though we have the setting turned on not to allow requests to be resolved with open activities we have found a couple of jobs that are resolved with open tasks (see below) Is there something that has changed that means that these are now be closed without completing tasks?
  7. We require a role to be able to complete/edit any task in the system by our Service Desk, whether in a different team or a task that is orphaned as part of a BPM. Is this possible?
  8. I am trying to find open tasks that have been assigned to a specific person i.e. approval tasks, so that I can chase them up with the assignee. I was planning on doing this by creating a report that shows all their unanswered tasks. What tables do I need to search in order to do this? Thanks
  9. I wanted to tell you about the new features being released to the Activity View. Based on an experimental flag ( experimental.feature.bpm.allowcustomtaskfields ) the new view will be available. Apart from the obvious UI change, there are several interesting new things: 1. Less clicks based on the situation: If the Activity doesn't require reason, time spent and other outcomes details, the outcomes will be displayed straight away as you open it instead of showing a complete button and then displaying the outcomes. * Activity view mode when no further input is need

  11. Hi, I have this error message coming up in a process (TEST HRA Honorarium Process (NEW) BSO selects HoS) when its supposed to move to human task. I've never seen this before. The User in the h/t is System Administrator so I don't know where its getting specified user 'SYS_BPM_MANAGER' from? Any pointers as to what this might be please? I'm sure i've tested this process before and it didn't error? Thanks Sam
  12. Would it be possible to have the option to duplicate a task within a project. My PM's feedback to me that this would greatly increase the speed at which they can add tasks. Could this functionality be added? e.g. Sometimes you might have 3 similar tasks, but different assignees. Being able to make duplicates, and then simply change the assignee would be helpful Thanks Darren

We would like to set up some task templates but have found that you cannot predetermine certain actions, for example, we would like a template which had the predetermined options of Assign To - Group as it defaults to User and you can't seem to change it. Also, we would like to set the Outcomes options buttons and also to remove the Time Spent section. Has anyone been able to create these types of tasks? I have included a screenshot of the options that we have when creating a task

In Capture task fields or Capture outcome fields, I am adding the field identifier as h_custom_a, but this is not populating the field with the captured value as it has proven to do when using this method in the PCF. We are using this to capture an email address which is then sent to a few nodes down the line. This is in the same stage of the BPM.

  16. We are having issues where users are deciding to put themselves 'on holiday' or another code, to stop themselves being assigned calls via the round robin feature. Is there a way we can take this ability away so only admin or managers can do it? Also is there a way to stop users from being able to reassign a call? As some people are just reassiging because they dont want to do the work. (even if there is a way to build in a node for a activity can go to a manger to approve reassigning) Hayley

Morning, We have a procurement process in Hornbill and the last activity that runs on the process asks 3 questions "Kit Built", "Delivery" and "Collection" I want the process to resolve and close after one of these options is selected. However when it resolves and closes I want it to pick the correct Resolution category and text and closure code. I wondered if there was a Decision node (like when you select your progressive capture question outcome to send the process down a different path) for the activity outcomes? Any ideas? Hayley
  18. Hi, A couple of my colleagues are having issues opening an activity (see attached screenshot - ref # IN00052705). The same behaviour happens from all screens (my activities, request, side nav bar, notification). Could you please let us know if it is human error or an issue with the system?   21. Hi all, is it possible to force tasks to be completed before closing a request? My analysts seem to be able to close requests without completing outstanding tasks set against that request. Apologies if I've missed something obvious!
